A turnover checklist answers “what needs to be checked?” A handover record answers “what does the next person need to know?” Keep those two jobs separate so that a checked box does not hide an unresolved issue.
Start with the sequence of the visit
Arrange tasks by where they happen: arrival, kitchen, bathroom, sleeping and living areas, final checks, then handover. Use a specific action and an observable result. “Check kitchen” is difficult to verify; “confirm the cupboard inventory against the property list” tells the person what to compare. Adapt every task to the property and its approved procedures.
Count supplies against a target
Record the target and actual count in separate columns. Reorder quantity is the positive difference, with zero when the actual count is already sufficient. For example, a target of eight towels and an actual count of five gives a shortage of three. Keep this stock calculation separate from whether an area was checked.
Write the exception before closing the visit
A useful note has a location, an observation and a next action. An illustrative entry is “Bedroom curtain bracket loose; reported for repair; room status needs confirmation.” Avoid guessing the cause or marking the repair complete when only the report was sent.
Make the bilingual wording match
When a team works in English and Spanish, keep both versions beside the same task. If you change the required result, update both languages. Property-specific equipment names and stock quantities deserve particular attention.
Preserve a visit record
Save the checklist and handover with a visit date and an agreed property identifier. Keep guest personal information out of shared working copies. A reusable checklist stays useful when each visit has its own record and unfinished items have a clear next action.
