Invoice CSV review: formats, duplicate flags and currency totals

A practical sequence you can use with your existing files and team.

A CSV export can look right in a spreadsheet while carrying dates or amounts that another system interprets differently. Review a copy before import and keep the original file unchanged.

Map meaning rather than position

Identify the invoice number, supplier, date, amount and currency columns. Export layouts can change when a report gains an extra field. A column in the same position as last month may no longer hold the same information. Check the headings and several representative rows.

Choose the date and decimal conventions explicitly

The date 03/04/2026 is ambiguous without a convention. Under day/month/year it means 3 April. Similarly, comma and dot amount formats can disagree about decimal and thousands separators. Choose the convention used by the exporting system and check a value with cents as well as a large value. Do not infer the format from one row.

Treat a duplicate flag as a review request

A supplier, invoice number and currency match can identify a possible duplicate. It does not prove that a row should be deleted. Inspect the source records and any correction or credit workflow. InvoiceBridge keeps flagged duplicates in its normalized CSV and excludes them from the summary totals; that distinction matters when comparing reports.

Keep currencies separate

A USD amount and a UYU amount cannot be added into one meaningful total without an explicit conversion policy. Compare totals by currency. The tool does not perform exchange conversions or calculate tax.

Reconcile before importing

Compare original row counts with normalized and rejected rows. Review the invalid-row report and possible duplicates. Inspect a sample in the destination system before accepting a full import. These checks organize a data workflow; they are not an accounting certification.
